In-House Coordination
FAQs
Our Aspen & Alston coordination team steps in two months prior to your wedding day to coordinate final details and manage all of the logistics for your day, leaving you to enjoy the last moments before you walk down the aisle. Our team knows our venue first hand, ensuring a smooth day for you and your guests.
SERVICES INCLUDED:
2-3 meetings prior to the wedding
Coordination of Thursday on-site rehearsal
Coordination of ceremony, cocktail hour and reception
Design of a detailed timeline for the day
Design of ceremony order, including queueing of music
Vendor and client contact on your wedding day
Setting all client provided decor and any Aspen & Alston
signature decor of your choice
Setting linens and signage
Assist caterers with place settings (if applicable)
Pinning of boutonnieres
Bustling of dress
Assist with send off
Assist with breakdown and sending all client items
with designated person
Two-Month Coordination $1,500
This service is for booked couples only.

Our in-house Month-of Coordination is ideal for couples who want to be fully present on their wedding day while knowing every detail is being handled behind the scenes.
This service is especially helpful if you:
Have multiple vendors (DJ, caterer, florist, photographer, rentals, etc.)
Are hosting both your ceremony and reception at Aspen & Alston
Want someone managing the timeline, cues, and transitions
Don’t want family or friends to be responsible for logistics
Want expert guidance for your wedding day flow
If you’re dreaming of a relaxed, well-paced day where you can simply enjoy getting married, this service was designed for you.
Couples who opt out of coordination are typically hosting very simple weddings or have a trusted person who is comfortable managing vendors, timelines, and decisions on their behalf.

Our in-house Month-of Coordination is built specifically for how weddings flow at Aspen & Alston. Because our team works at the venue regularly, they already know the space, timing, transitions, and weather plans — which allows the day to run more smoothly and with less stress.
Many couples find that having a coordinator who knows the venue inside and out makes a noticeable difference on their wedding day.

An outside coordinator typically manages your timeline, vendors, and personal details, but they are learning Aspen & Alston’s layout, flow, and policies as part of your wedding day.
Our in-house coordination is built around this venue. Because our team works at Aspen & Alston regularly, they already know the space, transitions, and timing, allowing them to anticipate needs and keep the day running smoothly.
Both options can work, but many couples choose in-house coordination for the added peace of mind that comes from having a coordinator who knows the venue inside and out.

If you choose not to book coordination, you are still absolutely welcome to get married at Aspen & Alston. You will simply be responsible for managing the flow of your wedding day.
This means you will need to:
Assign a Wedding Day Decision Maker (not the couple or a vendor)
Assign a team to setup your decor
Provide a final timeline
Ensure all vendors know where to go, when to arrive, and who to report to
Our venue team will always manage the property, and guest flow — but we will not run timelines, cue ceremonies, or manage vendors unless in-house coordination is booked.
